Description

The Position

The Town of Atherton invites you to apply for the position of Front Desk Receptionist / Clerk for the City Manager’s Office. The position requires an individual to provide responsible professional, administrative, and technical assistance to support the City Manager’s Office which includes City Clerk functions. The individual will provide administrative support and general reception for the Town Hall. The administrative functions include, but are not limited to, supporting activities to promote and prepare for Town meetings, processing applications for permits, customer service and public interaction related to Town programs and services, special projects based on needs; and assisting in office management functions.

Typical duties include, but are not limited to:

  • Assist in providing support for community events that will include assistance with public engagement, planning, and outreach.
  • Assist with preparing public meeting agenda packages and materials.
  • Maintain files and filing systems in accordance with departmental policies and procedures.
  • Provides support with calculating, preparing, issuing and/or submitting bills invoices, and other payment records for services.
  • Provides general administrative support to the City Manager’s Office that may include drafting and maintaining departmental records, tracking and filing Town contracts.

The position will occasionally back up the City Clerk at evening meetings.

Ideal Candidate

The Receptionist / Clerk will have unquestionable integrity and ethics will bring positive, creative energy to the Town and department, and will work with staff and the community in a naturally collaborative way. She/he will have excellent customer service and speaking skills and will feel comfortable working with the customers, residents, staff members, City Council, and the City Manager.

It is imperative that the Receptionist be technologically savvy including proficient at Microsoft and Adobe, and comfortable learning/using YouTube to upload meeting videos, website management, and new software including phone systems.

Candidate must be capable of becoming a Notary Public.

Candidate will have the ability to:

 

  • Perform responsible clerical support work with accuracy, speed, and minimal supervision.
  • Respond to and effectively prioritize multiple phone calls and other requests for service.
  • Interpret and apply administrative and departmental policies and procedures.
  • Compose correspondence and reports independently or from brief instructions; maintain records and databases.
  • Make accurate arithmetic computations.
  • Understand the organization and operation of the Town as necessary to assume assigned responsibilities.
  • Enter and retrieve data from a computer with sufficient speed and accuracy to perform assigned work.
  • Establish and maintain a variety of filing, record-keeping, and tracking systems.
  • Organize own work, set priorities, and meet critical time deadlines.
  • Operate modern office equipment including computer equipment and specialized software applications programs. Prior use of CRW software, Springbrook software, and/or Pitney Bowes mail machine and cash register operations is desirable, however not required. 
  • Use English effectively to communicate in person, over the telephone, and in writing.
  • Use tact, initiative, prudence, and independent judgment within general policy, procedural, and legal guidelines.
  • Establish, maintain, and foster positive and effective working relationships with those contacted in the course of work.

Education & Experience:

Equivalent to the completion of a high school diploma. Two to three years of progressive administrative experience. College-level coursework and/or technical training in secretarial science and/or office administrative support is preferred. 

 

Benefits

The monthly salary range is $5,326 - $6,212 and placement within the range is dependent upon qualifications.

The benefits currently include medical, dental and vision insurance allowances depending on level of coverage; PERS retirement 2% at 62; deferred comp plan available; a medical flexible spending plan is available; fully paid life insurance; STD and LTD; Workers’ Compensation insurance; vacation accrual depending on length of service with the Town; sick leave accrual at 8 hours per month; 11 paid holidays with one floating holiday per year; employee assistance program, and an educational reimbursement up to $1,000 per year.
