Description

Under the direction of the Recreation and Community Engagement Department, the position is responsible for Reception/Cashier duties at City Hall and assisting with City events.

This entry-level classification requires limited time on the job before an incumbent can function at the full journey level. When assigned to the front desk at City Hall, one will perform various clerical tasks, including receptionist duties, basic cashier, customer service, program registration, record keeping, data entry, filing, and support of special events or projects.

When assigned the task of Recreation Assistant, will perform a variety of functions to support the Recreation Department's programs, including working directly with youth participants, assisting with planning activities, and providing customer service. Responsibilities may include clerical duties like program registration, record keeping, data entry, filing, and support of Department special events.

This position is not responsible for the direct supervision of other Department staff but may provide direction and assist other staff/volunteers during a program and/or activity. 

Ideal Candidate

EDUCATION AND EXPERIENCE: 

  • High school diploma or GED
  • Some experience in customer service is desirable.
  • Experience in the field of Recreation or Events/Activities is helpful.
  • Valid Driver's License.

 

ESSENTIAL FUNCTIONS:

  • Act as receptionist - greet and screen visitors.
  • Provide information regarding Department and/or city activities and functions. 
  • Answer general department phone line and answer questions or forward them to other departmental staff. 
  • Answer general email messages and/or forward them to appropriate department staff. 
  • Process payments from the community utilizing accounting and recreation software.
  • Process program registrations through the recreation software system and troubleshoot client issues.
  • Prepare and print reports for contract instructors and renters. 
  • Assist facility renters with booking reservations. 
  • Track and process calendars for facility rentals.
  • Research and compile information related to building use, program participation, and other special projects as assigned. 
  • Assist in preparing for programs and events.
  • Interpret and apply rules, regulations, and health and safety standards.
  • Exercise good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs.
  • Maintain attention to detail despite interruptions.
  • Perform related duties and responsibilities as assigned.
  • Ability to work a flexible schedule based on Departmental needs.

 

JOB KNOWLEDGE AND ABILITIES

  • Basic office practices and procedures, including filing and operating standard office equipment.
  • Computers, Internet, Email.
  • Basic Windows operating system and programs.
  • The ability to learn new software.
  • Basic arithmetic.
  • Credit card and ten-key machines.
  • Communicate using interpersonal skills to deal with staff, the public, and others politely and effectively
  • Lift and carry at least twenty (20) pounds.
  • Ability to exert a small to moderate amount of physical effort involving moving from one area of the park or facility to another.
  • Ability to work indoors regularly and outdoors occasionally; exposed to wind, rain, sun, and other changes in climate while working outdoors. 
  • Frequently stand and walk; sit for extended periods. 
  • Establish and maintain effective working relations with others. 
  • Handle complaints and concerns in a calm, responsible manner.
  • Communicate clearly and effectively both orally and in writing.
  •  Ability to take direction from upper-level staff. 
  • Work cooperatively with the city team members and other departments to ensure necessary workflow and coverage.
  • Strong organizational skills.
  • Maintain attention to detail despite interruptions.
  • Ability to determine priorities, be a self-starter, follow directions, and complete assigned duties promptly.
