Description

The City of Mill Valley is seeking a self-directed problem-solver with an entrepreneurial spirit, high standards of excellence, and demonstrated commitment to public service and meaningful community engagement. 

Under the direction of the Recreation Supervisor, the Recreation Coordinator I – Facilities is responsible for assisting with the smooth operation of activities, programs, rentals, and special events at multiple Recreation Facilities. This position requires a high level of customer service, attention to detail, marketing prowess, and event planning and management expertise.

Mill Valley Recreation is a 7-day a week operation.

Recreation Coordinator I - Facilities schedule may include weekday, weekend, early morning and evening shifts. Schedule is subject to change depending on facility and supervisor needs. 

ESSENTIAL DUTIES:

  • Act as the primary point of contact for rental inquiries, promptly responding to emails, phone calls, and in-person inquiries regarding facility rentals.
  • Facilitate the rental booking process by liaising with internal staff and external parties to schedule rental dates, coordinate setup requirements, and confirm rental agreements.
  • Oversee the rental application process by providing interested parties with necessary documentation, rental agreements, and pricing details.
  • Collect and review rental applications, ensuring all required information is complete and accurate.
  • Provide timely updates to both renters and internal stakeholders regarding rental status, payment deadlines, and any changes to rental arrangements.
  • Maintain organized records of rental bookings, payments, and rental agreements, ensuring compliance with rental policies and procedures. 
  • Schedule and provide regular in-service training for facilities staff. 
  • Plan, develop and implement programs and events.
  • Evaluate the progress and effectiveness of scheduling and programming utilizing measurable outcomes.
  • Assist in the development of policies, procedures, contracts, and manuals for facility users and staff.
  • Provide assistance and guidance to facility users, anticipate and resolve problems, provide quality customer service.
  • Perform related duties and responsibilities as required.

Ideal Candidate

The ideal candidate will have significant experience with the practices and principles of program administration, development, implementation, coordination, and promotion. In addition, the applicant will possess previous experience in recruiting and supervising staff, ideally in a fast-paced and dynamic setting. A bachelor’s degree from an accredited four-year college or university with major coursework in recreation, or a related field is desired. 

 KNOWLEDGE OF:

  • Best practices and principles of programming and management.
  • Conflict resolution and problem-solving techniques.
  • Principles of supervision and management, employee motivation, and team building.
  • Principles and best practices of facility management, hospitality, and event production.

ABILITY TO:

  • Train, schedule, supervise, evaluate and professionally develop employees.
  • Communicate effectively verbally and in writing.
  • Work independently with minimum supervision and exercise sound judgment.
  • Multitask to handle competing priorities and demands alongside multiple deadlines.
  • Consistently interpret and enforce policies and procedures with attention to detail.
  • Work flexible schedule that may require some evening, full weekends, and holiday shifts.

EXPERIENCE AND TRAINING:

  • A bachelor’s degree from an accredited four-year college or university with major coursework in hospitality management, recreation, or a related field is desired.
  • Please note that a minimum of two years of professional work experience with increasing responsibility is required.
