Tri-City is currently looking for one (1) individual to fill a vacancy for the full-time Office Specialist position, within Centralized Scheduling. The Office Specialist is responsible for performing the full range of duties as assigned. This person will have more of a lead position in terms of less oversight, and more experience, and will support in helping guide newer Office Assistants within the scope of their position. They may be assigned higher-level assignments to support within Centralized Scheduling.

This position will perform the following essential duties, including, but not limited to:

  • Performs technical and procedural work in support for an assigned department, division, or program; applies technical procedures, methods, and techniques to support program and functions and processes; monitors and explains operational and program requirements and processes to various stakeholders.

 

  • Provides information to the public or Authority Staff that requires the use of independent judgment, compliance with laws and interpretation of policies, rules and procedures.

 

  • Greets and provides general information to clients, visitors, vendors, and staff, in person and on the telephone, in a professional manner; schedules appointments and meetings, and maintains calendars; assists clients by referring them to applicable sources of information; distributes applications and forms, and explains how to complete them; answers requests for information by consulting various available sources.

 

  • Verifies and reviews calculations, forms, data, and reports for accuracy, completeness, and conformance with established Authority regulations and procedures.

 

  • Types, formats, edits, revises, proofreads, tracks, and prints a variety of narrative, statistical, and technical documents, reports, correspondence, spreadsheets, and other documents and materials.

 

  • Inputs, updates, tracks, and extracts information into appropriate databases and billing systems; searches records and files for data.

 

Ideal Candidate

Education and Experience


Education:

  • Equivalent to completion of the twelfth (12th) grade.

Experience

  • Three (3) years of increasingly responsible clerical and administrative support
    experience.

Licensure: Must have and maintain a valid Driver’s License with a satisfactory driving record and meet Agency vehicle insurance standards.

Preferred candidates will be bilingual in Spanish, and have experience working with EHR and medical scheduling.

FULL-TIME EMPLOYEE BENEFITS:

NEW!  Sign-on Bonuses:  $2500 for eligible positions.

Merit Salary Increases: Annually based on performance, budget availability and supervisor approval.

CalPERS Pension: 2% @ 55 for Classic Members and 2% @ 62 for PEPRA Members; employee contributes 7% for Classic and 7.75% for PEPRA. No Social Security. 

Vacation:  80 hours per year, increasing with years of service with a maximum of 240 hours; cash out option available.

Sick Leave: Full-Time employees = 88 hours per year with no cap.

Holidays: 11 paid holidays per calendar year plus an additional 16 hours of Floating Holidays.

NEW!  Longevity Pay: $2500 at 5 years of service; $5000 at 10-35 milestone years of service.

REVISED!  Flexible Work Schedule: 9/80, 4/10 and/or intermittent teleworking, where applicable and approved by supervisor. **

Health Insurance:  Medical (Kaiser HMO), dental (MetLife PPO) and vision coverage (EyeMed) of which 80% is paid by Tri-City Mental Health Authority (TCMHA).

Life Insurance: Paid at one times annual salary, paid by Tri-City MHA with additional optional coverage available.

Deferred Compensation (457b): Available to interested employees; no employer match.

**Availability of flexible schedule and days of regular day off is dependent upon the needs of the Department and approval from Management.
